Range Collective LLC (“Range Collective,” “we,” “us,” or “our”) respects your privacy and is committed to handling personal information responsibly.
We design, plan, arrange, and support travel experiences for individuals, families, organizations, nonprofits, foundations, businesses, and other clients. In doing so, we may need to collect personal information about clients, travelers, trip participants, prospective travelers, and others involved in a travel experience.
This Privacy Policy explains what information we collect, why we collect it, how we use and share it, how long we generally retain it, and the choices you may have regarding your information.
This Policy applies to personal information we collect through our website, inquiry and registration forms, email and other communications, travel planning and booking services, trip operations, traveler support, and other interactions with Range Collective.
Third-party websites, platforms, travel suppliers, and other services may have their own privacy practices. This Privacy Policy does not govern the independent privacy practices of those third parties.

The information we collect depends on your relationship with Range Collective and the services we are providing.
Contact and Identity Information

Travel and Trip Information
To plan and operate travel, we may collect information such as:
Passport or other travel-document information;

You may choose to provide information that is relevant to your safety, wellbeing, accessibility, or participation in a trip, including:
Allergies;
Dietary restrictions related to health or safety;

Medications or medical devices;
Accessibility or mobility needs;
Emergency contact information;
Travel insurance or evacuation coverage information; and
Information associated with an incident or emergency.
We request that travelers provide only information that is relevant to travel planning, accessibility, safety, or emergency response.
Payment and Transaction Information
When you purchase travel services or make a payment, payment information may be processed through third-party payment platforms or travel technology providers.
Range Collective generally does not directly store full credit card numbers, CVV codes, bank account credentials, or similar payment credentials. Such information should be entered into or processed through approved payment platforms.
We may retain transaction-related information such as payment status, invoice information, receipts, refunds, and accounting records.
Communications and Forms
We may retain information you provide when you:
Submit an inquiry;
Complete a traveler registration form;
Sign a waiver or acknowledgment;
Communicate with us by email, telephone, or other means;
Request a proposal or travel recommendation;
Report a concern or problem;
Participate in a trip; or
Otherwise interact with Range Collective.
Website and Technical Information
When you use our website, certain information may be collected automatically, such as your IP address, browser or device type, pages visited, referring website, and general website usage information.
Our website may also use cookies or similar technologies for functionality, analytics, security, or other website purposes. You may be able to manage cookies through your browser settings or any cookie-management tools provided on our website.
3. Information About Other Travelers
Sometimes one person provides information to Range Collective on behalf of a spouse, family member, child, travel companion, employee, donor, board member, guest, or other participant.
If you provide personal information about another person, you represent that you are authorized to provide that information to us or have otherwise made the person aware that their information will be provided to Range Collective for the purposes described in this Policy.
We encourage adult travelers to provide their own sensitive information directly whenever practical.
4. How We Use Personal Information
We may use personal information to:
Respond to inquiries and communicate with you;
Design and propose travel experiences;
Create and manage travel arrangements;
Make hotel, transportation, activity, dining, air, charter, cruise, guide, permit, or other reservations;
Prepare traveler lists, rooming lists, manifests, meal information, and other operational documents;
Coordinate dietary, allergy, accessibility, mobility, or other reasonable accommodation needs;
Provide pre-departure information and traveler communications;
Support travelers before, during, and after a trip;
Develop trip logistics, safety plans, and emergency procedures;
Respond to emergencies, incidents, medical situations, or disruptions;
Coordinate travel insurance or evacuation assistance when applicable;
Process payments, refunds, invoices, and other transactions;
Administer contracts, waivers, registrations, and other travel documentation;
Fulfill our obligations under agreements with clients and travelers;
Maintain financial, insurance, tax, legal, and business records;
Prevent or investigate fraud, misuse, security incidents, or unlawful activity;
Protect the safety, rights, and property of travelers, Range Collective, our clients, and others;
Improve our services and business operations;
Comply with legal, regulatory, contractual, insurance, or risk-management requirements; and
Carry out another purpose that we explain to you when the information is collected.
We do not use sensitive medical, accessibility, passport, emergency, or similar traveler information for unrelated marketing purposes.
5. Sensitive Traveler Information
Some of the information required for travel can be particularly sensitive. This may include passport information, government identification, medical or allergy information, medication information, accessibility or mobility information, emergency contacts, travel insurance documentation, information concerning minors, incident reports, and certain payment-related information.
We seek to collect only the sensitive information reasonably necessary for a particular trip or service.
Access to sensitive traveler information is limited to individuals who reasonably need the information to perform their role.
We also seek to limit the amount of sensitive information shared with travel suppliers and other third parties. For example, a hotel may need to know about a serious food allergy but ordinarily would not need access to unrelated medical or passport information.
6. How We Share Information
Travel requires coordination with many different organizations. We may share personal information when reasonably necessary to plan, book, operate, or support your travel.
Depending on the trip, recipients may include:
Hotels, lodges, resorts, and other accommodations;
Airlines, charter operators, transportation companies, and transfer providers;
Destination management companies and local operators;
Guides, activity providers, boats, vessels, and excursion operators;
Restaurants and catering providers;
Permit authorities, immigration authorities, or other government entities where required;
Travel insurance, medical assistance, emergency response, or evacuation providers;
Medical professionals or emergency services when necessary;
Technology, registration, payment-processing, communications, accounting, or other business service providers;
Trip leaders, contractors, consultants, or Range Collective personnel who require information to perform their role;
Organizational clients, hosts, or program partners when information is reasonably necessary for trip administration, safety, or fulfillment of our services;
Professional advisors, insurers, accountants, or legal counsel; and
Government authorities, regulators, courts, or law enforcement where legally required or reasonably necessary.
We seek to share only the information reasonably necessary for the recipient to perform the relevant service.
Organization-Sponsored Travel
When Range Collective is arranging a trip on behalf of an organization, nonprofit, foundation, business, or other client, certain traveler information may be shared with that organization as necessary to administer the program.
Where practical, Range Collective limits the sharing of medical, accessibility, passport, insurance, emergency, and similarly sensitive information to those who have an appropriate need to know.
Depending on the nature of an engagement, Range Collective may process certain information on behalf of an organizational client while processing other information for our own operational, contractual, legal, safety, and business purposes.
7. Travel Suppliers and Independent Third Parties
Hotels, airlines, charter companies, cruise lines, destination management companies, guides, transportation providers, insurance providers, and other travel suppliers may collect or receive personal information directly from you or from Range Collective.
Many of these businesses operate independently from Range Collective and maintain their own privacy policies, security practices, and legal obligations. Once information is appropriately provided to an independent supplier, that supplier's handling of the information may also be governed by its own privacy policy and applicable law.
We encourage travelers to review the privacy practices of third-party providers when appropriate.
8. International Travel and International Data Transfers
Range Collective designs and operates travel around the world.
In order to arrange or support international travel, we may need to provide personal information to hotels, transportation providers, local operators, guides, government agencies, permitting authorities, medical providers, or other service providers located outside the United States.
Privacy and data-protection laws differ among countries, and some destinations may provide different or lesser protections than those available in your home jurisdiction.
We seek to limit international transfers of personal information to information reasonably necessary to provide the requested travel service, meet legal or supplier requirements, or support traveler safety.
9. Payment Information
Range Collective uses approved third-party systems to process travel payments and related financial transactions.
Payment credentials such as complete credit card numbers generally are processed by those providers rather than stored directly by Range Collective.
Those providers may process your information according to their own privacy and security policies.
Range Collective may retain transaction information such as invoices, payment dates, amounts paid, refunds, receipts, and other financial records for accounting, tax, legal, contractual, and business purposes.
10. Marketing Communications
If you choose to subscribe to Range Collective marketing communications, we may use your name, email address, and relevant preferences to send information about Range Collective, travel opportunities, news, or related services.
You may unsubscribe from marketing emails at any time by using the unsubscribe link included in the communication or by contacting us.
Unsubscribing from marketing communications will not prevent us from sending communications that are necessary for an inquiry, booking, active trip, transaction, legal requirement, or other service you have requested.
We do not sell or rent your personal information to third parties for their independent marketing purposes.
11. Children and Minors
Range Collective's website and services are not directed to children acting independently.
We may, however, arrange travel that includes children and other minors. When necessary for travel planning or operations, we may collect information about a minor from the minor's parent, legal guardian, or another person authorized to provide the information.
Such information may include identity and passport information, date of birth, dietary or allergy information, health or accessibility considerations, and other information necessary to arrange or safely support the minor's travel.
If you believe information about a minor has been provided to us without appropriate authorization, please contact us.
12. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate legal, accounting, insurance, contractual, safety, fraud-prevention, dispute-resolution, and business needs.
Our general practices include:
Inquiry and prospect information: generally retained for up to approximately 24 months following the last meaningful interaction, unless you become a client or traveler;
Contracts, scopes, transaction records, and certain financial records: generally retained for approximately seven years after the relevant trip, transaction, or relationship;
Traveler waivers and insurance acknowledgments: generally retained for approximately seven years after trip completion, or longer when reasonably necessary;
Passport copies and passport numbers: generally deleted within approximately 90 days following completion of the trip once no longer operationally necessary;
Medical, allergy, accessibility, and emergency-contact information: generally deleted within approximately 90 days following completion of the trip once no longer operationally necessary;
Incident and safety records: generally retained for approximately seven years after the matter is closed and may be retained longer when an incident involves a minor, serious injury, insurance claim, legal matter, or other significant risk issue.
There may be circumstances in which we retain information for a longer or shorter period, including when required or permitted by law, requested by you for future travel, needed for an active claim or dispute, or recommended by legal counsel, an insurer, or another professional advisor.
We may also retain de-identified or aggregated information that no longer reasonably identifies an individual.
13. Data Security
Range Collective uses reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include restricted access, password protection, multi-factor authentication, secure or access-controlled systems, limited sharing, and procedures governing the handling of sensitive traveler information.
We also require employees, contractors, trip leaders, consultants, and others who receive access to personal information through Range Collective to handle that information appropriately.
No system, electronic transmission, or storage method is completely secure, and we cannot guarantee absolute security.
If we become aware of a data security incident involving personal information, we will investigate and respond in accordance with applicable law and our internal security procedures.
14. Your Privacy Choices and Requests
Depending on your location and applicable law, you may have rights regarding your personal information.
Regardless of whether a particular privacy law applies, you may contact Range Collective to request that we:
Provide information about personal information we maintain about you;
Correct inaccurate or outdated information;
Delete information that is no longer reasonably necessary;
Restrict or object to certain uses where applicable;
Withdraw an optional consent;
Stop sending marketing communications; or
Answer questions about how your information has been used or shared.
We may need to verify your identity before fulfilling a request.
Some requests may be limited or denied when we reasonably need to retain or use information to complete your travel arrangements, comply with a contract or legal obligation, maintain accounting or tax records, handle an insurance or legal matter, prevent fraud, protect safety, resolve a dispute, or otherwise meet legitimate business obligations.
You will not be discriminated against for exercising a privacy right provided to you by applicable law.
15. Information Provided During Emergencies
During an emergency, medical event, security incident, evacuation, or other situation involving traveler safety, Range Collective may use or disclose personal information when we reasonably believe doing so is necessary to protect the traveler or another person's health or safety.
This may include providing relevant information to medical professionals, emergency response providers, evacuation companies, insurers, travel companions, emergency contacts, local authorities, organizational clients or trip leaders, or others involved in responding to the situation.
We will seek to limit such disclosures to information reasonably relevant to the circumstances.
16. Third-Party Websites and Services
Our website, travel materials, itineraries, or communications may contain links to third-party websites or services.
Range Collective is not responsible for the independent privacy, security, or data-handling practices of third parties. We encourage you to review their policies before providing personal information directly to them.
17. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our services, systems, business practices, or applicable law.
When we make changes, we will post the revised Privacy Policy and update the "Last Updated" date above.
Material changes may also be communicated in another reasonable manner when appropriate.
